Release SABIO 5.21
New features and optimization in SABIO 5.21
Group pinboards
The new feature “Group pinboards” allows adding multiple pinboards. The pinboards can be assigned to user groups so that every user of a certain user group sees all relevant information concerning his user group at a glance.
Group pinboards are added, edited and deleted by authorized users and are available for their respective user groups in the Home Tab then.
As is it possible for users to be in multiple user groups, they can have multiple pinboards as well. Which pinboard is displayed primarily, is determined by sorting them.
Users with more than one pinboard can swap through these assigned to their user groups.
Write permissions for group pinboards
You can select a responsible user group and a responsible user while creating or editing pinboards. Only the responsible user and the members of the responsible user group can edit or delete this pinboard.
You have to set write permissions on creation, but you can edit them later while editing of the pinboard.
The section “Permissions” is placed below the content and it is expanded per default.
New columns in window “Set order of pinboards”
Two new columns are available in window “Set order of pinboards”. Column “User groups” shows the group, which is responsible and column “Responsible user" shows the user, who is responsible for the pinboard. With this information you can easily contact the right persons, if you need any information before changing the order of pinboards.
The column, which lists the assigned user groups, is now called “Assigned user groups”.
Activation / Availability of “Write permissions for pinboards”:
Write permissions for pinboards is a standard feature.
What happens to my already existing pinboard?
Already existing pinboards have no responsible user and user group. On first editing you have to select both. Otherwise you can’t save your changes.
To make it easier SABIO selects values automatically here:
-
user group: SABIO selects the first group of the current user from alphabetical order
-
responsible user: SABIO selects the current user
Further details about this functionality can be found in Helpcenter.
Limitation of pinboard size
The content of pinboards are limited to 128KB. If this is exceeded the user gets following error message:
“The pinboard can not be saved because it exceeds the allowed size of 128KB. Please reduce the size of this pinboard, for example upload images to SABIO image explorer instead of embedding it directly into your pinboard.”
Limitation of file size for logos for themes
You will get an error message, if your logo exceeds the max. size of 1MB, if you save your theme.
Optimizing “Tags”
Tags allow a bigger range of characters. There are some rules to follow:
-
Multiple Tags can be added to the list separated by comma
-
Not allowed characters are ‘*’ and quotation marks
-
Not allowed as leading character are ‘#’ and ‘@’
-
Tags can be composed of multiple words
-
Upper and lower case are possible, but not considered in search
-
One Tag can be applied only once per text (lower and upper case are not relevant here)
-
Leading, closing or double blanks are not allowed
-
Leading or closing commas are not allowed
On save:
-
Check if only allowed characters were used. If not there will be an error message and the text can’t be saved.
-
Leading or closing blanks are removed
-
Double blanks will be reduced to one blank
-
If one Tag is assigned multiple times, there will occur an error message
-
Commas between two words separate them into two Tags
The search for Tags will be improved in SABIO 5.22. Further information will follow in the release notes of SABIO 5.22.
Highlighting of Title and Tags in search
Search terms which are in title or in tags will be highlighted in detail view of its SABIO content.
Optimization of section “validity”
The section “Validity” is expanded on creation of SABIO content (tree nodes, texts, documents, template, messages). So we want to push editors to set a validity, so that they have to check their content from time to time and keep them up to date.
Furthermore we renamed the option from “valid to” to “valid to and including” to avoid misapprehension.
Optimization of section “Write permissions”
Section “Write permissions” has a uniform naming in all creation and edit masks.
The optimizations are:
-
“Group” is renamed to “User group”
-
“Author” is renamed to “Responsible user”
-
Subheadline “Owner” was removed
-
Section “Access” was removed
-
User group defined in “User group” has always read and write permissions
Optimization of the user interface of document upload
Section for Drag & Drop of documents is always visible in text creation and edit mask. So the editor has an quick and easy way to add new documents to his text.
if the editor hover over this section, he gets visual feedback, that he can drop it here.
Optimization of window for “Add PDF”
We cleaned window “Add PDF”, so that only relevant options are left. Following settings are now available:
-
Page
-
Width
-
Hight
-
Maintain aspect ratio
-
Section for Drag & Drop
-

Optimization of window for “Edit link”
The input field “Name” is now mandatory. Closing the window “Edit link” by clicking on the “OK” button is not possible as long as the input field “Name” is blank.
Optimization of optical highlighting of mandatory fields
Missing mandatory fields are now pointed out more explicitly to editors. The following improvements have been implemented:
-
The button “Save” is deactivated as long as not all mandatory fields are filled in.
-
When hovering over the deactivated “Save” button, hints regarding missing mandatory entries are displayed.
Changing to tree node view from the detail view of a content in the tree tab
By clicking on the tree icon to the right of the bread crumb navigation in the detail view of a text or document, the user can switch to the tree node view in the tree tab. By doing so, the node and every text linked to it are displayed to the user.
Simplification of copying the path from the detail view of a content
The path that is displayed as bread crumbs in the detail view of a text, can be simply copied and pasted into another system.

The order of the functions in the context menu has been modified, so that the required functions are easier to find. The functions in the context menu are now grouped as follows:

Function “Notes” can be deactivated
Notes can be deactivated via permissions. If you would like to deactivate the function “Notes”, please contact our support team.
Optimizing the function “Bookmarks”
The following changes have been implemented:
Content, which a user bookmarked and which is not available to the user anymore (e.g. deleted texts, invalid texts), is deleted automatically from the user’s list of bookmarks. The user is informed about a deletion via a SABIO notification.
In this way, it is ensured that a user’s list of bookmarks can only contain available and valid content and that the user can add new bookmarks if applicable.
Avoiding duplicate names for user groups and views
Creating duplicate names for user groups or views is not supported anymore. If the name already exists, an error message will be displayed when saving the respective user group or view.
New application languages: Dutch and Czech
From now on, Dutch and Czech can be applied as application language.
Using the dictionary without the search
The dictionary can now be used without any effect on the search, e.g. as a stand-alone glossary. The search for synonyms can be de-/activated by the SABIO Support team.
Please note: The behaviour of SABIO will not change for clients, who are already using the dictionary.
Differentiation between supported and not supported CKEditor plugins in SABIO
The settings in the admin tab (section “Text Editor”) were optimized, so that a user is able to distinguish between supported and not supported CKE plugins.
