Building the Team
Get the right people together for a team.
An ideal team for the SABIO project in a small or medium sized Business with 30 to 100 SABIO licenses
and a handful of involved user teams looks as follows:
- 1 project manager
- All Roles should be represented in the team (Admin, editors, end users)
- The team should consist of junior and senior staff
- Every team that will work with SABIO is represented
- Get people with a couple of years experience, but not necessarily team lead into the team
- Not more than 8 people.
Definition of Goals
You do not do knowledge management for the sake of it or because it's a buzz, or because SABIO is fun to work with.
Define what you want to achieve with the implementation of SABIO.
Some goals might be measurable like average handling time, time to closure, first call resolution, etc these are the easy ones, and you likely measure them already.
For some softer goals, you need to rely on feedback like user acceptance, active use of the system, ease of use etc - you may need to define a new set of measurements to be able to compare this to your current system.
When defining goals, you also need to look at your target audience.
Who is likely to consume the knowledge that you keep in SABIO?
How do people work to get to the knowledge?
Definition of Relevant Knowledge
Put down what knowledge will be kept in SABIO - and what knowledge will NOT be kept in SABIO, and maybe where to find THAT - it might be worth to put this information in SABIO, so people know where to look.
Setting Milestones
Plan the project with milestones, dates, tasks, roles (who does what), etc
- Do NOT forget communication.
- You need to keep the rest of the teams informed about that status and next steps of the project.
- Try not to keep it a secret.
- The earlier you get people involved, interested and active, the more likely your project will be successful.
Beyond Go-live
Keep in mind that knowledge is not fixed, but constantly evolving.
You will need to have a continuous editor team working on this after the go live, and plan for this accordingly.
