Release 5.49 Serviceware Knowledge (SABIO)
With the launch of Serviceware Knowledge5.49, file management is now available to all.
However, there are the following limitations: Currently, the Content feed has limited functionality with the File Management. If these are used at your company, you can contact Serviceware Knowledge Support for further information.
Viewing files directly from the search or as attachments is not possible at this time. We are currently working on providing a new version for these respective clients that supports the new file management.
In order to use the new file management, a migration of the data has to be done. This migration can be registered with Serviceware Knowledge Support. As a prerequisite, Keycloak must be activated, its activation can also be registered with Serviceware Knowledge Support.
File Management:
Files are sent along with mails when sending mails
Note: Applies only to files that have been attached, embedded, or linked using the new file management feature.
If an editor wants to send a message with an additional mail notification, files that have been embedded, linked or attached in this message will now be sent as well.
Note: A maximum of 10MB of files will be included because many mailing lists do not allow larger file sizes.
Files will be included in HTML views exports
Embedded files are displayed directly. Attachments are displayed and can be opened.
Administrators can now set more granular permissions for file management
The permissions are now similar to other permissions found in Serviceware Knowledge. For more information, please see here.
Editors and administrators can right-click to access a context menu with all available actions
Right-clicking on folders or files shows a user all available actions in a menu.
Editors and administrators can now move folders and files in a simplified way
There is now an option to select files and/or folders and then move them with the context menu to another folder.
Editors and administrators can now see how often a file is used in the file manager search
In the file management search, the column "Connected resources" can be added. This shows in a number how often the corresponding file is used in other content.
Sorting in the file manager search is now displayed more explicitly
The sorting of the search results in the file management search list is now shown in above the list. This is displayed, when the list is sorted.
Editors and administrators can now reset the sorting in the file management search
The sorting of the columns in the file management search can be reset by clicking on "Sort by relevance" under the column selection.
Editors and administrators working in parallel now see as soon as changes happen in the file manager
A message appears as soon as changes take place, which prompts to reload the file management. It is also possible to stop displaying this message during the current session and load the changes directly. To stop the direct refreshing again, log out once and log in again.
Files can be saved as favorites/bookmarks
Via the bookmark icon, files can be added as favorites and also removed from favorites again.
Sharing files is now possible
When clicking on the "Share file" button, the option to send the link to the file by mail or copy it to the clipboard now appears.
Sorting files by size is now possible
The option to sort files by their file size is now added.
Skipping the deletion confirmations is no longer possible in combination with "Deletion requires additional confirmation"
Editors and administrators have to confirm the deletion process every time they want to delete a file or folder if the "Deletion requires additional confirmation" setting is enabled.
Editors can edit and delete links behind embedded images in a simplified way
If there is a link behind an embedded file, you can edit this link using the "Edit link" icon in the CKEditor toolbar and remove it using the "Remove link" icon.
Improved navigation of dropdown menus for setting file write permissions.
The first available user group is now automatically selected. Also, the current editor or admin is self-selected as the responsible user as soon as the user group is changed. It is also possible to do a rudimentary search for user groups and responsible users to be able to set them quickly.
Alignment of icons
The same icons are now generally used throughout the Knowledge System.
Ukrainian search
Ukrainian is now available as a search language and can be set by our support.
Beta Phase
Knowledge consumers can view Office files directly in Serviceware Knowledge
Office files can now be viewed in Knowledge without downloading them first.
Notes: Files are converted to PDF format for viewing in Knowledge. When downloading, the Office file is downloaded as usual. Office files currently means Word, Excel and Powerpoint files.
