Migration of existing files into the new file management system
All existing files can be automatically transferred to the new file management.
However, this takes different amounts of time depending on the amount of your content. Since all content has to be adapted, e.g. to link embedded images with the new file management, an individual editing stop is agreed with you, which can last several hours and during which your editors cannot create, edit or delete any content.
During the migration, your users can continue to work without restrictions.
After the migration, the user will not see any change in the content. Only the source Documents is no longer visible in the search tab.
For editors, all previous ways of accessing images or documents can no longer be called. After reloading the client, all buttons and sources are hidden.
Then only the access options that apply to the new file management are there.
The files are migrated according to the following scheme:
There is a folder "__Migration__" in the file management. This contains a sub-folder "__Image Explorer__", which contains all the images and the entire structure from the old Image Explorer. Next to this folder are other subfolders named after the user groups that had write access to at least one document. In these folders are further subfolders that divide the files of this user group into packages of 100. These are named like the first three letters of the first and 100th document in the folder.
Precondition
- Keycloak must be activated
- The user group "system administrator" must be set.
What to do for the migration to the new file management:
- Preconditions
- Keycloak activated
- User group for system administrators must be set
- May need to run SystemTool: "Initialize Realm Admin Group Setting".
- File management must be activated
- MIME type restrictions must be set to "None"
- Run SystemTool "Migrate documents and images to new File Management".
- The SystemTool will tell you if you have forgotten something above.
- Without further information, it will only be executed for the current realm.
- After migration
- Set MIME type restrictions to "whitelist" again.
- Give all roles with at least one of the following permissions the permission "May manage files" (see also next step, can be done in one go): May create documents, May edit documents, May delete documents.
- Remove ALL permissions regarding documents from all roles (this step should be omitted with 5.49).
